Using voice translation at hotel check-in: keep the booking and requests separate

Confirm booking details, room requirements and optional services in order, without confusing a question with agreement.

Find the booking before discussing other requests

Start with 'I have a reservation,' then show the booking name, hotel name and arrival date as the front desk needs them. Written booking details can be easier to check than repeatedly spelling a name aloud. Avoid forwarding an entire email containing unrelated personal information.

If the booking cannot be found, check the hotel branch, dates and name spelling separately. Adding room changes, breakfast and transfers at the same time makes it harder to tell whether the booking is missing or an extra request was misunderstood.

Turn room names into concrete details

Room categories can have different names at different hotels. Instead of translating only 'superior room,' use the reservation to ask about the number of beds, guests and included items you need. Similar names do not necessarily mean identical conditions.

'We would like two beds' is a request, not confirmation that the arrangement is available. Ask the front desk to confirm availability and any price or booking changes before agreeing.

Separate asking about a service from accepting it

'Is late checkout available, and what does it cost?' does not mean you have agreed to pay for it. Add 'Please tell me the time and cost first. I will confirm before you arrange it.' Keep the question, choice and final agreement distinct.

Early check-in, deposits, breakfast and cancellation conditions depend on the hotel's actual terms for the booking. A generic online phrase or a translator's added wording is not evidence of that hotel's policy.

Keep a confirmation you can check later

Before finishing, confirm the checkout time, breakfast location and any special requests that have been agreed. For a room change or additional charge, ask for the important details on a confirmation slip or in a message.

Do not share room numbers, key-card photos or complete reservation references publicly. When reporting a translation issue, keep the relevant short sentence and hide personal or accommodation details that are unnecessary for investigation.
